Prepare a conversation sample that preserves context
Choose relevant material and remove unnecessary personal details before analysis.
Define the question first
Start with one question that the messages could realistically help answer. For example, you might want to know whether a request received a clear answer or which part of a plan remains unresolved. A question such as what does this person truly feel asks for access to information the messages cannot establish. Narrow the task to observable wording, sequence and explicit commitments before deciding which material is relevant.
Write down the surrounding context in neutral language. Include the communication channel, the topic and any agreed expectations that matter to the question. Separate facts you can document from your recollection or interpretation. If a conversation happened partly in person or on a call, mark that missing portion. A transcript of one channel should not silently be treated as a complete record of everything that passed between the participants.
Select a coherent and proportionate sample
Choose a relevant thread or a defined time window rather than collecting only the most upsetting or reassuring messages. Include enough preceding and following text to make references understandable. If you are examining a pattern, look for examples that do not fit your initial view as well as those that do. Keep the sample small enough to review carefully while explaining any omissions that could change the interpretation.
Use consistent speaker aliases and preserve message order. Keep timestamps only when they are relevant to the question, and note any missing or uncertain time information. Do not turn a paraphrase into a quotation. If an export has lost reply links, reactions or attachments, record that limitation. The aim is a traceable sample whose gaps are visible, not a polished narrative that makes one interpretation look inevitable.
Review privacy before supplying text
Remove names, phone numbers, addresses, account details and unrelated sensitive content wherever they are not needed. Consider whether distinctive events could identify someone even after names are replaced. Check that you have an appropriate basis to share the material and resolve permission questions before uploading it. Read the actual service information about processing, retention and deletion rather than assuming that an analysis happens only on your device.
Keep an original copy under your own control if you need to verify excerpts later, and supply only the prepared sample through the intended analysis feature. A questionnaire about your goals does not need the conversation itself. If the service has not explained how messages are handled, keep using a general summary or wait for that information. Preparation should reduce unnecessary disclosure while preserving the context needed for an honest, limited review.
